01 · The problem
Documentation time is invisible because nobody bills for it. It sits inside the office hours you already pay for, or it sits on your caregivers' own time after the shift ends. Either way it does not appear on a report.
The second invisible number is the gap between the shift that was logged and the shift that was billed. Under-billed hours cost you revenue. Over-billed hours are a compliance problem. Most agencies we speak to cannot put a figure on either, which is not a criticism: nothing in the standard stack measures it.
We cannot tell you what those numbers are for your agency either, because nobody can without measuring them. That includes us.
02 · What it costs
Documentation nobody bills for. The gap between the schedule and the invoice. The scramble after a call-out. Every one of them sits inside a line you already look at, which is why none of them has a number next to it.
We have written the arithmetic for each one, so you can work it out from your own figures without giving us anything.
03 · The calculator
Put your roster and rates in and it will model the cost from your figures and one assumption we state on screen and let you change. It is arithmetic on your inputs, not a measurement. It asks for nothing before it shows you the result.
04 · What we do
Ten working days. Your office staff get short random pings and press one key to say what they are doing, which tells us how the paid office day actually divides. Separately we compare every scheduled shift in the window against what was invoiced. Nothing is recorded, and no caregiver is involved.
You get a baseline document with the method attached, so you or anyone else can check it or repeat it. You keep that whether or not we ever build anything for you. If the numbers come back small, we will say so, and the honest recommendation is to do nothing.

I am Henrik Grünfeld. I was an EMT before I built software, which is where I learned that the record of what happened matters nearly as much as what happened.
